Key Responsibilities
- Facility Maintenance: Manage and coordinate the maintenance of the company’s buildings and assets, ensuring they are in excellent working condition.
- Vendor Coordination: Work with vendors and service providers to schedule repairs, maintenance, and facility upgrades. Ensure all equipment such as AC/heating systems, alarms, and security cameras are regularly maintained.
- Inspection & Reporting: Perform monthly inspections of company buildings and assets, submitting detailed reports to management for any necessary repairs or improvements.
- Security Oversight: Oversee the security systems of the office, including access control, alarms, and surveillance equipment. Ensure compliance with all security protocols.
- Equipment Servicing: Ensure FHC (Fire Fighting and HVAC) equipment is serviced and inspected annually in accordance with expiry dates.
- Budget Management: Handle budgeting and financial planning related to office expenses, ensuring effective allocation of resources.
- Office Supplies & Inventory: Manage office supplies, equipment, and inventory, ensuring that all necessary resources are available and properly restocked monthly.
- Workplace Cleanliness: Oversee the cleanliness and organization of office spaces, common areas, and meeting rooms. Develop and implement cleaning and disinfection schedules for the office and warehouse.
- Record Keeping: Maintain up-to-date records of invoices and contracts from external partners such as suppliers, insurance agents, and security services.
- Research & Improvements: Stay updated on new products and services that could improve facility operations, enhancing efficiency and cost-effectiveness.
Qualifications & Requirements
Essential Qualifications
- Education: Bachelor’s degree in Business Administration, Facilities Management, or a related field.
- Experience: Minimum of 2+ years in administrative or facilities management roles, preferably in an office or industrial setting.
- Skills: Strong organizational and communication skills with a keen eye for detail. Ability to coordinate multiple tasks efficiently and effectively.
- Technical Knowledge: Basic understanding of HVAC, plumbing, and fire fighting systems, as well as other technical infrastructure in a facility.
- Software Proficiency: Experience with facility management software or basic office tools (e.g., Microsoft Office) is a plus.
- Language: Proficiency in English (spoken and written) is required.
Preferred Qualifications
- Experience in Facility Administration: Previous experience in a similar role within a trading company or industrial setting is highly preferred.
- Knowledge of Health & Safety Regulations: Awareness of health and safety regulations as they apply to facility management.
